Hospitals frequently receive patient documents such as medical reports, insurance forms and prescriptions through channels like WhatsApp or email. These files are often handled manually, making it difficult to organize, identify and associate documents with the correct patient.
Without a structured system, hospital staff must manually review message threads and files which can result in delays, misplaced documents and incorrect patient identification. Hospitals require a simplified solution that enables patients to easily upload documents while ensuring accurate tracking and integration with existing hospital systems such as the Electronic Health Record (EHR).
Data Cube developed a WhatsApp-based Patient Document Management system that enables patients to upload documents directly through a simple WhatsApp interaction with the hospital. Patients access the service by scanning a QR code which opens a WhatsApp chat interface.
Documents uploaded through WhatsApp are automatically stored and organized within an admin dashboard where hospital staff can view, download and transfer files into the hospital’s Electronic Health Record system. This creates a structured workflow for document collection and improves overall operational efficiency.
The Patient Document Management platform is designed with strong healthcare data protection principles, ensuring the secure handling of sensitive patient information. The system incorporates encryption, role-based access control, audit trails, and secure data storage practices aligned with global healthcare compliance standards such as HIPAA-aligned, privacy and security guidelines. These measures ensure confidentiality, integrity, and controlled access to patient records across the document lifecycle.
QR Code Access Patients begin the process by scanning a QR code provided by the hospital. This action opens a WhatsApp chat interface allowing patients to communicate and submit documents easily.
Patient Identification The patient’s mobile number is automatically captured from WhatsApp. If the hospital system supports API integration, patient details such as name and Medical Record Number (MRN) can be retrieved automatically from the EHR system.
Document Upload Patients can upload one or multiple documents through WhatsApp including reports, prescriptions or supporting documents required by the hospital.
Admin File Management Uploaded files are automatically stored in the admin dashboard and linked with the patient’s mobile number making it easy for administrators to identify and manage files.
EHR Integration Documents can be transferred from the admin panel directly into the hospital’s Electronic Health Record system, ensuring centralized patient document storage.
Patients can interact with the hospital through WhatsApp, allowing them to easily upload documents without installing additional applications. The familiar messaging interface improves accessibility and simplifies document submission.
Hospital administrators can view and manage uploaded documents through a centralized dashboard. Files are organized using patient mobile numbers and patient details where available, enabling quick identification and document retrieval.
Documents uploaded through WhatsApp can be transferred into the hospital's Electronic Health Record system. This ensures all patient documents are stored in a centralized repository and can be accessed easily by healthcare professionals.
